DealerSlate LLC ("DealerSlate," "we," "us," or "our") operates the DealerSlate platform, including its web application, browser extensions, mobile integrations, and related services (collectively, the "Services"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Services.
By accessing or using any DealerSlate Service, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use of the Services.
2. Information We Collect
2.1 Information You Provide
- Account information: Name, email address, dealership affiliation, and role when your organization provisions an account.
- Communications: Any information you provide when contacting support or submitting feedback.
2.2 Information Collected Automatically
- Usage data: Pages visited, features used, timestamps, and actions taken within the platform.
- Device and browser data: Browser type, operating system, and screen resolution.
- Authentication data: Login timestamps and session information via Azure Active Directory.
2.3 Information We Do Not Collect
DealerSlate does not collect financial account numbers, Social Security numbers, or customer payment card details (payment processing is handled by third-party processors).
3. How We Use Your Information
We use collected information to:
- Provide and maintain the Services.
- Authenticate users and enforce access controls.
- Send transactional communications (appointment reminders, service updates, account notifications).
- Monitor platform performance and troubleshoot issues.
- Comply with legal obligations and enforce our Terms and Conditions.
4. Mobile Messaging
DealerSlate sends transactional SMS messages on behalf of subscribing automotive dealerships to their customers. These messages notify customers about the status of DMV-related documents associated with a vehicle purchase, including when license plates, vehicle registration, and title documents have arrived and are ready for pickup at the dealership, or when documents are still pending. Messages may also include pickup instructions and dealership contact information. All messages are strictly transactional and non-promotional.
4.1 How Consent Is Collected
Consent to receive SMS messages is collected by the subscribing dealership as part of the vehicle purchase process. During the sales or finance transaction, customers provide their mobile phone number and authorize text message notifications by signing the dealership's SMS consent disclosure, which is included in the standard purchase documentation. This written consent is recorded in the dealership's Dealer Management System (DMS) and transmitted to DealerSlate along with the customer's deal information. Only customers who have provided written consent receive messages. Customers without consent on file are excluded from all messaging.
4.2 Data Sharing
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4.3 Opt-Out and Help
You may opt out of mobile messages at any time by replying STOP to any message. For assistance, reply HELP or contact us at support@dealerslate.com. Message and data rates may apply. Message frequency varies. For full SMS program details, see our SMS Terms of Service.
5. Sharing and Disclosure
We do not sell your personal information. We may share information only in the following circumstances:
- Within your dealership: Account and usage data is visible to authorized administrators at your dealership.
- Service providers: Trusted vendors who assist in operating the platform (hosting, authentication, payment processing), bound by contractual confidentiality obligations.
- Legal requirements: When required by law, regulation, legal process, or enforceable government request.
- Business transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users.
6. Data Security
We implement industry-standard security measures including encrypted connections (TLS), role-based access controls, audit logging, and regular security reviews. While no system is completely secure, we take reasonable steps to protect your information from unauthorized access, alteration, or destruction.
7. Data Retention
We retain your information for as long as your account is active or as needed to provide the Services. Upon account deactivation, data is retained for a reasonable period for legal, audit, and compliance purposes, after which it is securely deleted.
8. DealerSlate Print Extension
The DealerSlate Print Extension ("Extension") is a browser extension that enables printing from the DealerSlate web application to Zebra label printers on your local network.
8.1 Extension Data Collection
The Extension does not collect any of the following:
- Personal information (names, emails, addresses)
- Browsing history
- Form data or passwords
- Financial information
- Device identifiers
- Location data
- Analytics or usage tracking data
8.2 Extension Data Processing
The Extension processes the following data transiently (in-memory only, never stored):
- Print job data: Label content (ZPL format) received from the DealerSlate web application is forwarded to the designated printer. This data is not stored or logged by the Extension.
- Printer IP addresses: The IP address of the target printer is used only to route print jobs. These addresses are provided by the DealerSlate web application and are not stored by the Extension.
8.3 Extension Network Communications
The Extension communicates with:
- DealerSlate web application: Receives print job instructions via Chrome's messaging API. Only messages from dealerslate.com domains are accepted.
- Local network printers: Sends print data to Zebra printers via HTTP on your local network. No data is sent to external servers.
The Extension does not communicate with any third-party servers, analytics services, or advertising networks.
8.4 Extension Permissions
The Extension requires the following permissions:
- storage: Used to save user preferences (such as popup settings). No personal data is stored.
- host_permissions (http://*/*): Required to communicate with Zebra printers on local networks. Printers use HTTP for receiving print jobs.
8.5 Extension Data Retention
The Extension does not retain any data. Print jobs are processed in real-time and immediately discarded after being sent to the printer. No logs, history, or cached data is maintained.
9. Third-Party Services
The DealerSlate platform may integrate with third-party services (e.g., authentication providers, payment processors) that have their own privacy policies. We encourage you to review their policies. DealerSlate is not responsible for the privacy practices of third-party services.
10. Children's Privacy
DealerSlate is a business tool designed for automotive dealership operations. The Services are not directed at children under 13 years of age and we do not knowingly collect information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date. Continued use of the Services after changes constitutes acceptance of the updated policy.
